Complete your May 2025 Procurement Card reconciliation by Friday June 27, 2025.

Certify Your PCard Statement

Complete the reconciliation and certification for the May 2025 billing cycle in the SUNY Finance and Management System (FMS) on the employee services portal at . The May billing cycle covers transactions from 5/06/25 — 06/05/25.

Print JPMC Statement

  1. at https://www.paymentnet.jpmorgan.com with your account credentials.
  2. Click on the Statements option on the PaymentNet Menu Bar.
  3. To view the statement for a billing cycle other than the current cycle, select a date from the Billing Date list.
  4. Click View Statement (PDF)
  5. When prompted, indicate whether you want to open the statement in a new browser tab or save a local copy.  Use your Adobe PDF viewer to print the statement if desired.

UB Box Documents

The following documents should be placed in the corresponding statement folder for each month:

  • Cardholder Statement
  • Summary log with supervisory review signature
  • Supporting documentation for each charge (e.g. Invoice, receipt)
  • SUNY Certification printout with supervisor signature

File Retention Dates

Beginning with the October 2022 Statement, all documentation should be placed in the UB Box folder created for you.

PCard paperwork and receipts must be kept on file for a period of six (6) fiscal years plus the current year. You should have the following fiscal years on file:

  • 2024-25 (Current)
  • 2023-24
  • 2022-23
  • 2021-22
  • 2020-21
  • 2019-20
  • 2018-19

Fiscal year End Notes

With the fiscal year coming to a close, please keep all certifications up-to-date. All 2024-25 PCard cycles, up to and including the June billing cycle, 0625, must be fully reconciled and certified by 7/25/2025.

Note:  The entire June 2025 State PCard billing statement, including transactions dated 7/01/25 through 7/07/25, will be automatically charged to the 2024-25 fiscal year. You may continue to use the PCard throughout the fiscal year transition period.
