Choosing the Right Tool for Communication and Collaboration

UBIT offers a variety of tools for communication and collaboration. Choose the one that best meets your needs.

Collaboration and Group Email

Microsoft 365 Group

When to Use:

  •  For collaboration between people both inside and outside of UB
  • When you need a shared workspace for conversations, files, and calendar events
  • Ideal for project teams, departments, or any group that needs to work together on a regular basis

Features:

  • Group email, shared calendar, SharePoint site, OneNote notebook, and a Planner workspace
  • Can be connected to Microsoft Teams for additional functionality
  • Adding people is simple and can be done through Outlook and OWA without intervention from IT node support

Additional Notes and Limitations:

  • Mail sent to a M365 Group email address is sent to one address but delivered to all member mailboxes
  • Microsoft 365 groups cannot be added to other Microsoft 365 groups, so user lists may need to be maintained in multiple locations

Microsoft Teams

When to Use:

  • For real-time collaboration between people both inside and outside of UB
  • Supports channels for organizing conversations by topic or project

Features:

  • Includes chat, video conferencing, file sharing, and integration with other Microsoft 365 apps
  • Shared channels allow for collaboration spaces where you can invite people who are not in the team

Additional Notes and Limitations:

  • Requires a license; volunteers and some other appointment types are not licensed for Teams by default
  • Guests and external users cannot be added to shared channels

LISTSERV(TM) List

When to Use:

  • When you need to send emails to a large group of people regularly to internal and external email addresses
  • Ideal for newsletters, announcements, and discussion groups

Features:

  • Highly customizable; can be configured to allow or restrict who can send messages to the list
  • Allows for easy management of subscribers via the Listserv interface and email commands
  • Archives of past messages
  • Listserv lists can be added to other lists

Additional Notes and Limitations:

  • Mail sent to a Listserv email address is sent to one address but delivered to all subscribers of the list
  • ·Listserv list email addresses have a specific format that includes a -LIST suffix and an @listserv.buffalo.edu address

On Premises Mail Enabled Groups

When to Use:

  • For sending email notifications to a group of people within UB
  • Simple email distribution without additional collaboration tools

Features:

  • Mail enabled security groups can also be used for providing access to resources

Additional Notes and Limitations:

  • Mail sent to a mail enabled group’s address is sent to one address but delivered to all group members
  • External email addresses can be added to distribution groups, however a contact object must be created in Active Directory by an owner’s node support and the UBIT EIS DMVC team must mail enable it
  • Departmental IT staff manage membership via Active Directory Users and Computers
  • Mail enabled distribution groups cannot be used for providing access to resources

Exchange Mailboxes

Shared Mailbox

When to Use:

  • When multiple people need access to the same mailbox
  • Allows multiple users to read and send emails from a common mailbox that has a custom “vanity” SMTP address
  • Includes a shared calendar for scheduling and coordination

Additional Notes and Limitations:

  • People cannot log into a shared mailbox account and the corresponding AD object is disabled

User Mailbox

When to use:

  • When multiple people need access to the same mailbox, AND the account is used for another purpose besides email that requires a user to log in using that account
    • Example: Zoom access
  • Allows multiple people to read and send emails from a common mailbox that has a custom "vanity" SMTP address

Additional Notes:

  • For compliance and security purposes, user mailbox accounts will need to be enrolled in Duo

Room and Equipment Resources

When to use:

  • When you require a way to reserve and manage the availability and booking of physical spaces like conference rooms, or equipment like projectors, laptops, or cars

Additional Notes:

  • People can book these resources through Outlook by including the room or equipment mailbox in meeting requests

File Storage

SharePoint Site

When to Use:

  • For departmental file sharing, ensuring continuity of business operations
  • When you need a centralized location for storing and managing documents
  • Supports version control and access permissions

OneDrive for Business

When to Use:

  • For personal (non-departmental) file storage and sharing

Additional Notes:

  • Each OneDrive eligible account has a 128GB quota. This can be increased upon request with appropriate justification, however for large quota needs, a SharePoint site is recommended
  • OneDrive is associated with a user account. For departmental data that needs to persist, a SharePoint site is recommended

UBbox

When to Use:

  • For personal and departmental file storage and sharing
  • For storing Cat I - III data
  • For storing Cat I Restricted Data (requires a special account)

Additional Notes:

  • Cloud based
  • Each UBbox eligible account has a 128GB quota.
