Transfer your UBmail messages and contacts to a personal email account before leaving UB

Learn how to save your UBmail messages, Outlook contacts, and calendar entries.

Who are these instructions for?
  • If you already check your UBmail in Outlook, these instructions can help you export your messages, calendar and contacts to a file (.pst) that can be imported back into a free version of Outlook with your non-UB email address.
  • If you use a web browser or mobile app to check your UBmail, you can either follow the instructions below or download individual messages and attachments to your personal storage device.

Export your messages, contacts and calendar entries

Step 1: Get Outlook, if you don't have it

Step 2: Configure Outlook for UBmail and your non-UB email account

Use the Classic version of Outlook, not New Outlook.

Step 3: Export messages, contacts and calendar entries from UBmail

Before you export your messages from UBmail, delete any you don't want to keep. It makes exporting and importing quicker when you only move what you need.

Step 4: Import your email messages, contacts and calendar entries to your non-UB email

Update email address used for services, subscriptions and accounts

Before your UBmail is deactivated, change your recovery, login and subscription email address from your UBmail to a non-UB address for services, subscriptions and accounts, including:
  • Banking & Payment Services: Debit/credit cards, PayPal, Venmo, CashApp, Apple Pay, Google Pay
  • Investment & Loans: Student loans, Coinbase, Robinhood, E*TRADE 
  • Social Media: TikTok, Instagram, Facebook, X, Bluesky, Reddit, LinkedIn, GitHub, etc.
  • Academic Services: Research databases (JSTOR, ScienceDirect), career services (Handshake, Symplicity) 
  • Subscription Services: Video streaming (Netflix, Hulu, Disney+, etc.) & music streaming (Spotify, Apple Music, etc.) 
  • Utilities: Internet, electric, and gas service providers 
  • Ecommerce: Amazon Prime, Walmart, Temu, eBay, Target, etc. 
  • Software purchases: Adobe Creative Cloud, password managers, personal VPN, antivirus 
  • Login account on personal computers
  • Jobs: Update contact information on resume, job applications, and recruiter contacts

Optional: Set an out of office message

Create an out of office message in your UBmail once you know your UBmail deactivaton is approaching, to automatically let people who send you email know that your UBmail address is going away. Include a non-UB email address where you can be reached.

Once your UBmail is deactivated, the out of office will stop working and people who send you email will have their messages returned to them as undeliverable.

Can UB automatically forward my buffalo.edu email instead of ending the service?

Unfortunately, automatic forwarding isn’t permitted under UB’s Central Email Policy.
